Registration

The process of registering participants into the CONREGO system is divided into steps. The Registration module enables configuring each individual step. Steps I, IV, V, and VI are mandatory for each individual implementation. Steps II and III are optional, which makes the entire registration process highly flexible.

The Registration module is divided into sections, each corresponding to successive steps of the process:

  • Disable Registration Form - This section enables you to easily close registration by replacing registration form to website with contents of your choice.
  • Step I: Registration Form – This section enables you to design a registration form.
  • Step II: Agenda – This section enables you to create an agenda that will be made available to participants, during registration.
  • Step III: Accommodation – The functionality of this section enables adding a step to the registration process, which will make it possible for participants to book hotels, based on a list of available facilities and rooms, provided by the system.
  • Step IV: Summary – This section enables you to create a sub-page that will contain a registration summary for the participant.
  • Step V: Confirmation – This section enables you to edit the page with a thank-you message for registering.
  • Step VI: Email – This section enables editing the afore-mentioned email message that confirms completion of registration.
This section enables you to close registration by replacing registration form with website. The functionality of Disable Registration Form enables the following:
  • hiding registration form and replacing it with website immediately or automatically at a chosen date;
  • Creating and editing replacement website for registration form, using a HTML code creator or editor.
This section contains configuration functions regarding the registration form. They will enable you to do the following:
  • Modify the order, visibility, and requirements, regarding fields in the registration form;
  • Divide groups of elements of the registration form into sections;
  • Add labels and descriptions to fields of the registration form;
  • Hide fields, depending on the type of participation selected by the participant;
  • Add clauses and monitor their visibility and requirements.
Creating a registration form consists in assigning appropriate labels to each of the elements, determining their specific positions, and also in dividing all elements of the registration form into sections (e.g. Personal data, Invoice information, etc.), all of which are created as you see fit. Elements of the registration form are configured under the Advanced System Configuration - Registration form section.
This section enables you to create an agenda of events available during the registration process (e.g. a list of thematic sessions, lectures, or accompanying attractions). The functionality of this module enables the following:
  • Creating sections (e.g. days) and assign agenda item to them (e.g. lectures);
  • Configuring dates and times for each individual item of agenda;
  • Configuring time periods that display each individual section;
  • Assigning facilities to events (thus assigning limits of seats to particular events);
  • Assigning lecturers to events;
  • Defining the style of event presentation (selecting a CSS class for a given item of agenda).
Agenda items can be assigned to facilities that are configurable under the Advanced System Configuration - Event settings section, which enables assigning a limit of seats to each agenda item.

WOULD YOU LIKE TO MANAGE MULTIPLE EVENTS WITH A SINGLE LICENCE?
If the CONREGO system is used to manage multiple events simultaneously, you can treat each of the sections as a representation of successive editions of an event. Thanks to the mechanism of reducing visibility and adding an unlimited number of items within a particular section, you are able to manage registrations for multiple events (from ten or more to several dozen), based on a single licence!
This section enables creating a list of hotels available during the registration process, with which we signed reservation agreements for a particular number of rooms, concerning the event that we organise.
Configuring an added hotel (or any other accommodation site) enables:
  • Entering address details;
  • Entering a code for a map available in Google Maps (a SRC parameter copied from an IFRAME code displayed on maps.google.com);
  • Adding website address of a hotel to its description;
  • Adding a photo of the hotel;
  • Adding various room types to each individual hotel (e.g. single room, double room, suites, etc.);
  • Determining the availability of each individual hotel/room, in a given period of time.

This section is only available in the CONREGO Pro suite and it is not featured as an add-on to the Conrego Light version.
The configuration section for step IV enables entering content into the page that contains summary of registration. Summary is aimed at presenting – and correcting, if necessary – the data entered during previous steps of the registration process, to the participant.
This panel offers the following possibilities:
  • Creating and editing of summary content, using a HTML code creator or editor;
  • Using registration tags to load data collected in the registration form.
Such tags function similarly to the tags of mail merge. If a registration tag is used, it results is displaying data entered in a particular field of the registration form corresponding to the tag, at the location where the tag is applied. Such tags can also contain modifiers that determine the method of displaying information entered in the registration form (e.g. together with a field label). Thanks to this functionality, the Registration summary screen (Step IV: Summary) will not display the data and labels regarding the fields of the registration form that have not been filled in.
The section dedicated to configuring the Registration confirmation step (just as the Registration summary section defined above), enables the following:
  • Creating and editing of confirmation content (thank-you message for registering), using a HTML code creator or editor;
  • Using registration tags to load data collected in the registration form.
The Confirmation screen appears, after the participant has successfully completed the registering process, and when the system is ready to send electronic confirmation (that will be edited in the next section) to the email address of the participant.

Such tags function similarly to the tags of mail merge. If a registration tag is used, it results is displaying data entered in a particular field of the registration form corresponding to the tag, at the location where the tag is applied. Such tags can also contain modifiers that determine the method of displaying information entered in the registration form (e.g. together with a field label). Thanks to this functionality, the Registration confirmation screen (Step V: Confirmation) will not display the data and labels regarding the fields of the registration form that have not been filled in.
This section enables editing the content of an email message that will be sent to each registered participant, after completing the registering process. The system contains a ready-to-use, default HTML code of a responsive template, so you don’t have to create its code from scratch. The panel enables the following:
  • Creating and editing of confirmation content (thank-you message for registering), using a HTML code creator or editor;
  • Using registration tags to load data collected in the registration form.
  • Enabling function that will automatically create and attach proforma invoice to email confirmation if registration wasn't free of charge.

Such tags can also contain modifiers that determine the method of displaying information entered in the registration form (e.g. together with a field label).
