How to use CONREGO Access Control?

Distributing and returning headsets for simultaneous interpretation.

One of the practical applications of the Access Control module in CONREGO is the ability to manage the distribution and return of headsets for simultaneous interpretation.

Follow these steps to control headset pickup by participants:

1. Add a section to the registration template

Add the "Headset pickup" section and an "Headset" offer item to the registration template. If your event lasts more than one day, you can monitor headset distribution per day by creating separate offer items like "Headset - Day One" and "Headset - Day Two".

2. Assign participants

Ensure that every registered participant has the relevant offer item assigned. This allows the system to record who received a headset. Use bulk actions in the "Participants" section to do this efficiently. Assign participants

3. Scan QR codes

Log in to the Conrego Check-in mobile app and go to Access Control > appropriate section > choose the offer item you want to monitor. By default, the "In" option (check-in) is selected. Then start scanning QR codes from participants' emails or badges.

4. System messages

  • Missing offer item: If a participant doesn’t have the correct item assigned, a message will indicate they are not on the guest list and can’t receive a headset. Missing offer item

  • First scan: On successful QR code scan, the system confirms presence and headset pickup. First scan

  • Repeated attempt: If the same person tries to pick up a headset again, a red warning will appear stating the headset has already been issued. Repeated attempt

5. Headset return

To register a headset return, switch the access control to "Out" in the Conrego Check-in app and scan the QR codes of participants returning the equipment. The system will confirm the check-out, indicating a successful return. attende_out

6. Final report

After the event, go to Report Generator > Create new report > Attendance lists > name your report, select the data fields to include > Save changes. Then download the report to see who received and returned the headsets – and who didn’t.

Access Control in CONREGO can also be used to manage the distribution of:
