How does the Multimedia Platform work?
The Multimedia Platform is a module of the CONREGO system that allows you to create a dedicated multimedia center for each event. It’s a space where attendees can find all materials, live streams, downloadable files, and photo galleries in one clear and convenient place.
How to enable the Multimedia Platform?
To activate the Multimedia Platform, go to Settings > Multimedia Platform. Enable the module by selecting "Yes".
Main screen configuration
After activation, a section will appear where you can configure the appearance of the platform for attendees:
- Multimedia Platform heading – enter the title visible to attendees.
- Welcome text – use the editor to write an introductory message.
Footer and branding:
- Footer image – upload a logo or image (maximum height: 60px).
- Link associated with the image – optionally add a link that will open when the image is clicked.
- Footer text – add additional text information.
Participants allowed to access the Multimedia Platform:
- Select which attendee statuses will have access to the Multimedia Platform.
Multimedia Platform sections
Sections overview
In the section table, you will see information about:
- Section name.
- Content type (video / file / gallery / HTML).
- Language version.
- Availability (for everyone / limited – offer elements or ticket types).
- Status (visible / hidden).
- Visibility timeframe.
Available actions: Hide / Enable, Move, Edit, Delete.
Creating a new section
Click the "+ Add section" button and go through 4 configuration steps:
Step 1: Basic information
- Section name – enter the title visible to attendees.
- Section description – add a description visible to attendees.
- Language version – select the appropriate language in which the section will be available.
- Section thumbnail – upload an image representing the section.
Step 2: Section type and availability
Choose the type of section:
- Webinar / Video (streaming/embed) – embed live or recorded content from YouTube, Vimeo, etc.
- Downloadable file – add PDF, ZIP or other files (max 5MB).
- Gallery – showcase a collection of images (max 24 files).
- Own HTML Content – add your own content or paste HTML code for more personalization.
Set the section’s availability:
- available to all – everyone with access to the Multimedia Platform will see this section.
- available to selected Ticket Types – only attendees with specific ticket types will see it.
- available to Offer Elements – only attendees who selected specific offer items will see it.
Step 3: Content configuration
For webinars:
- Paste embed code (YouTube, Vimeo)
- Choose page layout:
- Full width
- 75% + 25% (with sidebar)
- 25% + 75% (with sidebar)
If you choose a layout with a sidebar, you can add a description, information, or other content.
For downloadable files:
- Upload the file – remember the 5MB limit.
- Preview the file name and delete if needed.
For photo galleries:
- Upload multiple files at once (up to 24).
- Check thumbnails and remove any unnecessary images.
For custom content:
Use the editor to create your content or paste your own HTML code.
Step 4: Publication settings
Visibility control:
- Make visible immediately – the section will be visible right after it’s created.
- Make visible at scheduled time – set the date and time for publication.
- Automatically hide section at selected time – the section will disappear at a set time.
Managing existing sections
- Hide/Activate – quick toggle of section visibility.
- Move - change the order of sections
- Edit – modify all section settings.
- Delete – permanently remove the section.
Testing and preview
Platform preview
Click "Platform Preview" to see how the interface looks from the attendee’s perspective. As an admin, you can see all sections regardless of availability. If you want to see how the platform looks for a specific attendee – use the attendee’s individual platform link.
Attendee access
Each eligible attendee can receive a unique and secure link. This link can be sent via email or SMS from the attendee card, attendee list, or Communication module.
To send a message with the link, create a new message template and use the TAG function or choose the button with link on the right panel and select "link to multimedia platform".
Attendees don’t need to log in or remember passwords. The link takes them directly to their personalized view, showing only the sections they are authorized to access.
For security reasons, one link can only be active on one device at a time. If two people use the same link simultaneously, the first one will automatically lose access.
Reporting and analytics
On the main Dashboard screen you’ll find two new panels:
- Online attendance (all) – the total number of attendees who visited the platform.
- Online attendance (now) – currently online users.
Reports and Filters
When the Multimedia Platform is enabled, new report become available - Attendee lists (online).
The attendance report logs entry and exit times, allowing you to track activity.
The link to the Multimedia Platform is available as a standard column in all attendee reports.
In the ATTENDEES tab, two new filters are available – Attendee presence on the Multimedia Platform and Sections of the Multimedia Platform where the attendee’s presence was recorded.
Organizational tips
- Prepare materials in advance – upload files and configure sections before the event.
- Test everything – use preview to check how the platform works, test video embeds, galleries, downloads, and custom content.
- Inform your attendees – send out the links and let them know what’s available on the platform.
- Monitor engagement – regularly review reports to track participant activity.
Troubleshooting
- Check section availability settings if an attendee doesn’t see expected content.
- Make sure uploaded files do not exceed size limits.
- Verify embed codes for video content.
