Event Access Control – How Can We Support You?

1. Access Control Software

The Access Control module ensures smooth attendee flow management and integrates with the attendee database. It can operate in two modes:

  • Automatic data synchronization – attendee data is automatically synchronized with our Event Management Tool.
  • Import attendee lists – managing guest lists uploaded via an XLS file provided by the organizer.

2. Access Control Equipment Rental

We provide the necessary devices for access control checkpoints:

  • Laptops and tablets (iPad) – with access to the Access Control module,
  • QR code scanners – allowing for quick verification of attendees based on their tickets or badges,
  • Thermal printers – for instant printing of personalized badge labels.

As the organizer, ensure there are suitable tables (e.g., cocktail tables) for the equipment setup, power supply, and internet access. We take care of the rest.

3. Technical Support and Checkpoint Assistance

You don’t have to manage access control yourself. Our collaboration includes:

  • System and checkpoint configuration,
  • Training your staff or providing hostesses for checkpoint operation.

Each checkpoint can operate in two ways:

  • Laptop + QR code scanner – requires an internet connection and an updated web browser.

Frequently Asked Questions

Which areas can be restricted with access control?

You can restrict access to specific halls, VIP sections, workshops, paid sessions, or catering areas. Each attendee can have different levels of access depending on their registration.

Can I use my own equipment for access control?

Yes, as long as your equipment meets the technical requirements. For example, QR code scanners must trigger the TAB key after each scan. If you are unsure about the compatibility of your equipment, contact us – we will help you verify it.

Can the Access Control module register both entries and exits?

Yes, the system can register both entries and exits, allowing you to monitor the time attendees spend in a specific area.

What is the minimum QR code size?

As a rule, we do not use QR codes smaller than 20x20mm. Smaller codes may be unreadable, which could slow down attendee processing unnecessarily.

Can a QR code be placed on a wristband?

Yes, but the QR code should be at least 2x2 cm to ensure readability. Self-adhesive label printers, such as Brother, offer stickers in similar sizes that can be printed on-site and applied to wristbands.

Can I limit the number of attendees in a given area?

Yes, the system can block access to a hall or area once the maximum number of attendees has been reached.

How long does QR code scanning take at the entrance?

Scanning a QR code and verifying it in the database takes less than a second, allowing for quick processing of large crowds.

Can I view reports on attendee presence?

Yes, the system generates detailed reports on the number of attendees in each area, their time spent there, and their activity at the event. Reports are available in XLS format.
