CONREGO offers maximum possibilities to make communication with attendees easy, personalized, automated, effective, measurable, and legally compliant. Here’s how it works.

Easy creation of personalized messages

With the visual email builder, you can easily create professional-looking emails containing images, formatted text, and buttons with links (e.g., to a registration form). You can also use personalization tags that automatically adjust the content based on data from the registration form.

Communication automation

The communication module allows for sending both ad-hoc messages (sent manually) and automated messages – to attendee groups or individual recipients.

Ad-hoc messages

  • Event announcement emails (Save The Date) with links to iCal, Google Calendar, and Outlook.
  • Invitations for attendees with a universal or individual registration link.
  • Emails containing personalized tickets with QR codes or certificates.
  • Emails or SMS messages with logistical information, links to key resources, or reminders.
  • Emails confirming acceptance or rejection of attendees (if attendee verification is active).

Automated messages

  • Emails and SMS messages confirming registration.
  • Emails and SMS messages confirming transactions.
  • Emails with payment reminders.
  • Emails about registration cancellation due to delayed payment.
  • Welcome SMS messages for attendees arriving at the event (after their presence is recorded in the Check-in module).

Measurable effectiveness

Due to spam filters used by most email servers, there is no guarantee that every message will reach the recipient. CONREGO minimizes this risk through a high-reputation integrated email server and delivery reports. These reports help you see who opened the email and who did not receive it.

Legally compliant mailing

CONREGO includes a built-in mechanism for managing consents for ad-hoc message sending and their withdrawal. This solution complies with legal regulations and the new requirements imposed by Google and Yahoo in March 2024 on email distributors. The system automatically excludes users who have not given consent for marketing emails from campaigns, eliminating the risk of sending spam. However, withdrawing consent does not block the sending of automated (transactional) emails.

Frequently Asked Questions

Can I add attachments to emails?

Yes, you can attach PDF files to emails sent from CONREGO. Other file formats, such as DOC or ZIP, may be blocked by antivirus scanners on recipient servers.

Does CONREGO charge for sending SMS messages?

No, because CONREGO is not an SMS gateway provider. However, you can easily integrate the system with a service provider you have an agreement with (e.g., SMSAPI).

How does the email deliverability report work?

The deliverability report shows whether an email has reached the recipient, whether it was opened, and whether the recipient clicked on any links in the message. These reports are generated only for emails sent via our mail server. If you configure your own email account as the sender, the emails will not appear in the deliverability report.

Can I send event reminders to attendees?

Yes, you can send personalized reminders using the Communication module via email or SMS.

Why aren’t emails sent from CONREGO reaching participants?

First, check the email quality using a deliverability testing service, such as mail-tester.com, and follow the provided recommendations. High-quality emails should include: more text than HTML code, minimal graphics, valid links, and ALT attributes for all images. Also, ensure the sender's mailbox is properly configured. Why aren’t images visible when opening an email?

Most email clients block automatic image display by default to protect recipients’ privacy. This limitation is due to email client settings, not CONREGO.

Why do emails look different in Outlook compared to the editor?

Emails in Outlook often display incorrectly compared to other email clients because Outlook uses an unconventional method of rendering HTML emails. Instead of using modern web engines like WebKit (used by Gmail or Apple Mail), Outlook relies on the Microsoft Word rendering engine. Unfortunately, this is beyond our control. However, you can design and send emails using custom HTML templates, although it can be time-consuming and costly.
