How to allow participants to update their registration details?

Once registration is complete, the standard invitation link stops working — attendee can no longer access their registration to correct data or select additional services. Until now, every such change fell on the organizer's shoulders.

Update links solve this problem. These are special, secure addresses that work for paid, unpaid, and completed registrations as well — and allow the attendee to do exactly one of two things independently:

These are two independent links — you can provide only one of them or both.

Key Features

  • Work on final statuses — where the invitation link no longer works.
  • Secure — access is protected by verifying the email address of the registering person (see "What it looks like for the attendee").
  • Reusable — a single link works as long as it is valid; the attendee can return whenever they want.
  • Separate for data and offer — each has its own address, which you can independently share or invalidate.
  • Respect the registration period — if registration is closed, the link informs that it is unavailable.
  • Support individual and group registrations — in a group, one link covers the entire group (see "Group Registrations").

Data Update Link

What the attendee can do

  • Correct or complete data from the registration form (e.g., first name, last name, attendee details, custom fields).
  • Save changes and receive an email confirmation.

What it does not include

  • It does not edit invoice details or payment methods.
  • It does not change previously selected offer items (the offer update link is used for this).

When it is worth using

  • A attendee made a typo in their details after registration was completed.
  • You want to reduce the support team's workload — attendees take care of keeping their data up to date before the event themselves.
  • In a group registration, the registering person wants to fill in the details of group members they did not know at the time of purchase.

Tip: on the attendee card in the dashboard, you can see the date and IP address of the last time the data update link was used — you can easily check if the attendee has already used it.

Offer Update Link

What the attendee can do

  • Select new offer items (e.g., an additional workshop, session, service).
  • If the selected items require payment — proceed to payments and receive a new pro forma invoice and confirmation.
  • If the selected items are free — simply save them and receive a confirmation (without payment).

Important Rules

  • Previously selected items are locked (read-only) — the attendee can only select new items, they cannot remove or exchange already ordered ones.
  • When selecting paid items, invoice details are locked — the attendee does not change the buyer's details, they only choose the payment method.
  • Each selection of paid items creates a new, separate transaction and a new pro forma invoice — nothing gets mixed up with previous payments.
  • Discounts from discount codes do not transfer to new transactions (they are tied to a specific, earlier payment).

When it is worth using

  • Additional sales (up-sell): let attendees purchase workshops or services after the initial registration.
  • A attendee decided on an additional activity closer to the date of the event.
  • In a group, the registering person wants to purchase additional services for selected members.

Group Registrations

In group registration, the link is assigned to the registering person (group leader) and handles the entire group from a single address:

  • Data update — the leader updates the data of all group members on a single page.
  • Offer update — the leader selects new offer items for group members; paid items go into a single, collective transaction with a pro forma invoice.

The link is not generated for an individual group member — it always works at the registering person level.

How to Generate and Share the Link (in the Dashboard)

Method 1 - Copy the link from the Attendee card

  1. Go to the Attendee card (of an individual registration or the person registering a group).
  2. Expand the "Links" menu in the top bar of the card.
  3. Select:
    • "Copy data update link" or
    • "Copy offer update link".
  4. The link goes to your clipboard — paste it into a message to the attendee.

The "Copy data / offer update link..." button instantly gives you a ready-to-use link. If the token did not exist yet, it will be created in the background — you will get the exact same address that the attendee sees in emails.

Method 2 - Insert the link into a message template (recommended)

In the message editor (email / SMS), you can insert tags with data update and offer update links. Thanks to this:

  • each attendee gets their individual link automatically,
  • the token generates itself at the moment of sending.

The best places for such a link:

  • registration confirmation email (the attendee has the link "at hand" from the start),
  • payment reminder / event reminder.

Security

  • Email verification — before the attendee changes anything, they must confirm the registering person's e-mail address (provided during purchase). Without the correct address, the link will not grant access.
  • Invalidating the link — if a link leaked or you want to "reset" it, use the "Generate new (invalidates the old one)" option in the "Links" menu. The previous address immediately stops working.
  • Change log — the panel records the date and IP of the last time the data update link was used.

Note: "Copy data / offer update link..." always provides the same, current link (it does not invalidate the previous one). To intentionally change the address, use exclusively "Generate new (invalidates the old one)".

What it Looks Like for the Attendee

  1. The attendee clicks the link (from your message).
  2. Identification via email — they enter the email address of the registering person and click "Next".
  3. Form:
    • data link → they edit their data and save,
    • offer link → they select new items; if they are paid, they choose a payment method.
  4. Confirmation — the attendee sees a thank you screen and receives a confirmation email.

To easily distinguish these messages from a standard registration confirmation, a note appears in the email subject:

  • "Data update", or
  • "Offer update".

When updating an offer with paid items, a new pro forma invoice is attached to the confirmation.

Frequently Asked Questions (FAQ)

Does the link work for a registration that is already paid?

Yes. Update links work on final statuses — including paid and completed ones.

Can a attendee remove a previously selected (or paid) service?

No. Through the offer update link, they can exclusively select new items; previous ones remain locked.

Can a attendee change invoice details?

No. When selecting paid items, the buyer's details are read-only — the attendee only chooses the payment method.

What happens when a attendee selects only free items?

The change is saved without payment, and the attendee receives a confirmation (without a new pro forma).

Can one link be sent multiple times?

Best Practices

  • Insert both links into the registration confirmation email — the attendee has them right away and contacts support less frequently.
  • Use the offer update link for up-selling — remind attendees of the option to purchase additional workshops closer to the event.
  • Relieve the team — instead of correcting data manually, ask the attendee to use the data update link.
  • React to leaks — if you suspect a link is circulating out of control, generate a new one with a single click.
